Task: Make Inventory Of What To Use
The objective of this task is to create an inventory of all hardware, software, tools, maintenance and support services contracts needed to deliver the services to the Client.

Main Description

During the sales phase the solution team designed the continuous service delivery solution, making use of existing or new hardware, software, tools or services. This solution might even have been checked and updated during a Due Diligence in the sales phase. The solution documentation should have been handed over to the transition team at the sales to delivery handover before the start of the transition.

For this inventory the input is needed out of the proposal, the solution documentation and all contractual documents. This artifact is named Inventory Of What To Use.

Besides this the other work streams in the transition should give their input based on what they learned during the phases Preparation And Design and Implementation. Software and tools may surface at different moments in time in those work streams, software and tools that turn out to be essential for executing the services or for the communication with the Client.

Typical activities and tasks in which other work streams would discover what was ‘missed’ so far:

  • Knowledge Exchange work stream- During the planning or execution of the knowledge exchange or acquisition
  • Service Engagement Staff work stream- During the activities and tasks related to staff take-over
  • Service Delivery Processes work stream- During the set-up of processes, procedures or even while writing work instructions for the teams
  • Technology And Infrastructure work stream- During the planning or implementation of the To-Be infrastructure
  • Information Security And Compliance work stream- While making an inventory of all requirements or when planning, designing or implementing the related solutions.

The hardware, software and tools may not be part of the standard Capgemini normally use for the contracted type of services. Therefore decisions are needed regarding either to use the same as currently in use at the Client, incumbent or third party services supplier, or to choose alternatives. These decisions can either be made in the respective work streams themselves or in cooperation between the streams. The leader of the work stream in which the deviation was found is in principle responsible to choose what to use and to inform the Finance And Contracts work stream about this.

In some cases a subproject is needed in which a joint team of experts of several work streams work together to make the inventory of what the Client, incumbent(s) or third party services supplier(s) currently use, to investigate what alternatives are available, with what pro’s and con’s, and have the Capgemini Internal Steering Committee decide on what Capgemini will order and implement. Under which work stream such a subproject would best be managed depends on the type of expertise needed to execute the work.
